AI phone agents and your phone system
Latency, transfers and SIP: what telecom people check before putting an AI on the line.
AI lead follow-up automation
Most leads aren't lost to a better offer. They're lost to a slower reply. We set up follow-up that answers in minutes, day or night, and gets a real person on the phone with the leads worth calling.
Remote, anywhere in the US. We reply within 1 business day.
Sound familiar?
Speed to lead is the oldest rule in sales, and small businesses break it every day, not out of laziness but because the people who'd answer are busy doing the work.
What we build
The AI's job is narrow on purpose: reply fast, ask the right questions, keep the conversation warm, and put a person in front of the leads that matter.
Every form, chat or email inquiry gets a reply within minutes that answers what they actually asked, asks the one or two qualifying questions you care about, and offers times to talk.
When a call goes unanswered, the caller gets a text from your business number: sorry we missed you, what can we help with? The conversation continues by text and ends with a booked callback.
Leads that match what you're looking for get flagged and sent straight to whoever is on shift, by text or a call alert, with a summary of the conversation so far.
After a quote goes out: a check-in, an answer to the usual objections, a reminder before the quote expires. The sequence stops the moment the customer replies, and a person takes it from there.
Every reply, text and booked call is written back to the tools you use, such as HubSpot, Pipedrive, Salesforce, Jobber, ServiceTitan and the like, so your pipeline reflects reality without anyone typing it in.
Old inquiries and unanswered quotes get a polite check-in, only where you have permission to contact them. Some of last season's "not yet" turn into this season's jobs.
Why minutes matter
Harvard Business Review's study of online sales leads, "The Short Life of Online Sales Leads", found that companies that tried to contact a lead within an hour were far more likely to qualify it than companies that waited longer, and that plenty of companies took days to respond, or never did.
Big sales teams solve that with headcount and shifts. A small business can't, which is exactly where AI earns its keep: it doesn't make the sale, it keeps the lead warm until the person who can make the sale is free.
The fine print
Most follow-up tools fail on the plumbing, not the writing. These are the parts we sort out before the first message goes out:
Fast replies win leads. People close them. These stay with your team:
How we work
We look at where your leads come from, how fast they get answered today and where they stall, and pick the source with the clearest payoff.
Missed calls or web forms, usually. We measure time to first reply, how many leads you actually reach, and booked appointments against how that source performs now.
Add the next source, quote follow-up or reactivation only when the pilot pays for itself. Any message customers don't respond well to gets rewritten or dropped.
Questions
Yes, once your number is registered for business texting. We handle the registration paperwork with you, and until it's approved we don't send anything.
Not if they're specific. A short reply that answers the customer's actual question and offers a time to talk reads like an attentive business. The assistant says what it is, and its real goal is getting a person on the line sooner.
Most CRMs and field-service tools with an API: HubSpot, Pipedrive, Salesforce, Jobber, ServiceTitan and similar. We confirm what yours exposes on the first call.
Often more so. When every lead matters, losing one to a slow reply hurts. A small setup that answers missed calls and web forms can pay for itself with one saved job.
Texting people who asked you to contact them, with a working opt-out, is standard practice. Cold texting lists and AI-voiced cold calls are a different story, and we don't build them.
